Police Administrative Assistant

Summary: This position has the responsibility to perform various administrative, operational, tele-communicator, clerical duties, including maintaining police records, administrative files, answering telephones, responding to inquiries from the public, answering emergency calls and provide friendly and timely customer service to the community and visitors.

Essential Functions: This is not a comprehensive listing of all functions and duties performed by this position; employees may be assigned duties which are not listed below; reasonable accommodations will be made as required. Essential duties and responsibilities may include, but are not limited to, the following:

  • Performs administrative and technical support functions for assigned department, requiring understanding of local government operations and City services; maintains information confidentiality and performs duties with discretion and within scope of authority; duties may vary according to job assignment and work skills.
  • Performs experienced clerical, technical and administrative duties, including special projects, special program activities, managing calendars, coordinating activities, data management, record keeping, payroll, accounting and research.
  • Manages special projects and programmatic assignments, requiring knowledge of operations, policies, and procedures of the City and the assigned Department.
  • maintains and updates a variety of computer databases and files; enters, edits and retrieves data and prepares reports; reviews and processes invoices and requisitions.
  • Compiles information and materials for special assignments and projects.
  • Processes a variety of administrative forms, maintains and updates City records and information tracking systems; prepares correspondence, reports, accounting records, and administrative documents.
  • Purchases and distributes supplies, and manages inventory; works with vendors, verifies deliveries and services, and resolves customer service and technical issues.
  • Provides informed and confidential technical assistance to customers and others having business with the City; assists customers with requests, applications, and other documents; retrieves and releases information according to City procedures.
  • Explains City rules, policies and procedures.
  • Arranges and schedules appointments and meetings; assists with the annual budget process.
  • Screens visitors and phone callers; resolves issues and complaints as appropriate.
  • Supports the departmental operations with regular and timely attendance.
  • Supports the relationship between the Town of Hollywood Park and the general public by demonstrating courteous and cooperative behavior when interacting with visitors and City staff; maintains confidentiality of work-related issues and City information; performs other duties as required or assigned.

Education and Experience Requirements:

  • High School or GED equivalent required.
  • Minimum of three years clerical or administrative support experience required
  • One year in police setting preferred.
  • Experience with the Report Management System “BADGE” a plus.
  • Knowledge of TCOLE record keeping.
  • Knowledge of open records request and file retention.

Additional Information:

Employment with the Town of Hollywood Park is contingent upon the applicant undergoing a background investigation to include a criminal history check.Physical Requirements: Employee generally works in an office environment free of environmental hazards. Work requires exerting 10-25 pounds on a frequent basis and up to 40 pounds generally working with file boxes and records

Additional Information:

  1. This position is not safety sensitive.
    2. This position has no supervisory responsibilities over others.
    3. Work is primarily in an office setting however there are occasional special events that require evenings and weekends.

Full Time Peace Officer Employment Requirements

 

The Town of Hollywood Park (pop. 3,400), located in northern Bexar County, is accepting standby applications for full time Peace Officer.   Responsibilities include: Protects life and property, investigates and reports criminal offenses, preserves order and peace, enforces traffic laws, and city ordinances. Applicants with a break of more than 180 days in service will also be required to submit to a psychological assessment.

Reserve Officers are non paid certified Police Officers.  The Police Department is currently authorized 6 total reserve officer positions.  Currently HPPD has “NO” openings for for the position of Reserve Police Officer.

PAY SCALE:

After 6 months probation the pay is:  $46,420.00.

City Sponsored S.T.E.P overtime program offered to all full time officers (up to funding amounts approved by current fiscal year budget).

INCENTIVE PAY:

Associates Degree          $25.00 month

Bachelors Degree            $50.00 month

Masters Degree              $75.00 Month

PO Certifications

Intermediate                  $30.00 month

Advanced                      $60.00 month

Master                          $90.00 month

Animal Control Officer Certification:

ACO I                           $75.00 month

Code Compliance Officer Certification:

CO I                             $100.00 month

Mental Health Officer Certification:

MHO I                           $100.00 month

Field Training Officer (FTO) Certification:

FTO I                            $30.00 month

LONGEVITY:

All regular full time employees are provided a monthly increment of $10.00 for each year of continuous employment completed

4.62 hours bi-weekly (10 hours a month)

MEDICAL AND LIFE INSURANCE:

The Town of Hollywood Park provides group hospitalization and medical insurance coverage as well as life insurance and accidental death and dismemberment insurance for regular full-time employees. Premiums for employees are paid for by the city.

RETIREMENT:

The City is a member of the Texas Municipal Retirement System (TMRS). Both employee and the City contribute to the employees retirement account. Employees are vested in the TMRS system after 5 years of service.

TRAINING:

State mandated training is provided at no cost to the employees as well as numerous other opportunities to advance education.

EQUIPMENT:

All necessary equipment is provided by the city to include body armor, duty weapon(s), taser, duty belt and gear.  Officers also receive an annual clothing allowance after one year of service of $500.00 per fiscal year.
